Under General Guidance of the Manager (HR & Compliance) and supervision of the Manager (HR & Compliance) and within the limit of Auto Group policies/ practice/procedures; the purpose of the position is to develop maintain all facts of HR & Compliance issues, aspects including Compensation, Benefits, Employment, Environment, Health & Safety, Security, Force labors, child labors/ Non discrimination freedom of association, Right of Inspection as per statutory requirement and Buyers code of conduct (COC) and conduct over all factory Certification process throughout the factories including coordination/liaison with the existing as well as prospective buyers...

Coordinating department : internal : all departments of factories.
External : as desired by manager hrd.

Reporting channel : HR Manager /  asst. Manager deputy manager hrd , manager hrd, director production.

Immediate superior : assistant manager

Immediate subordinate : Executive Admin / senior officer admin

Job summary :

To collect information of factory if any problem of the workers & staffs  and to solution under the guidance by the Executive Director. No of 3 (three),one EMB,one Auto  Gmts ltd,another Head office.
  • To issue the show cause letter /Inquiry letter and conduct the inquiry of  any worker and stuff. Receiving instruction for deputy manager hrd
  • Receiving requisition for hiring personnel for other departments of factories.
  • Arrange postering, publishing for recruitment.
  • Job distribution among timekeepers and document & leave clerks.
  • Providing data to senior officer it.
  • Proper arrangement for maintaining all records, files, registers, documents related to labour officer.
  • To prepare the dismissal letter of any worker and stuff. Supervising the job timekeepers and documents & leave clerks.
  • To see the labour directorate office, factory inspection office, statistics  To deal/maintain/supervision/authorization following activities:
  • To ensure that all data, records, reports, formats, statements, rank & files in relation to compensation and benefits are properly prepared, issued updated and maintained.
  • To follow/check/audit that whole employment procedure and practices are being maintained properly as per policy and records/reports/formats, statements/rank and files (personal file) relation to whole range of staffing including promotion increment transfer separation etc. are properly prepared, issued, updated and maintained.
  • To ensure that all environmental issues including factory layout, availability of all facilities designed properly and kept always in compliant. 
  • To supervise/ensure that Health & Fire Safety issues as per in house check list are properly and timely restored as in compliant. 
  • To take any advise of Legal matter from the legal advisor. To ensure that no force employment in the factories. 
  • To ensure that employment of no child/young looking workers are made. 
  • To attend/participate workers participation committee meeting, offer frequent hearing to the agreed workers in coordination with HR personnel. 
  • To coordinate with Manager (HR & Compliance) from time to time in respect of disciplinary/IR issues and refer the issues to him.
  • To ensure access/right to inspection during buyer’s Audits.
  • To develop/review/maintain/keep update buyer wise Audit schedule in inform the same to factory Management regularly in liaison. 
  • To maintain regular-close communication with the concerned team as per Audit schedule, make necessary correspondence with them and respond to their all query/information.
  • To attend the any court case which has been filed by the worker & staff to the labour court.
  • To take instant corrective action in auditors certain minor findings/ discrepancies during audit.
  • To prepare corrective action plan (CAP) as per findings/observation/recommendation of concerned audit and submit the confirmed (CAP) to the audit team concern, timely.
  • To ensure that all corrective action has been taken with regular follow up; as per CAP submitted. 
  • To supervise/monitor the work of factories HR & Compliance Executive/Officers. To prepare the paper of any workers & staff which has been resigned from his services.
  • To put up/ recommended/ forward in coordination with factory management all requisition as per buyer’s audit requirements for procurement and follow up installation, fixing, provision of the same those required as in place in a proper and timely manner. 
  • Signatory Authority on ID card issue procedure.
  • To conduct the welfare committee meeting to the factory. To conduct security audit regularly and develop security requirement
  • To take the New factory & fire license from the factory inspector office .To prepare Security Assessment quarterly and submit report to the management. 
  • To ensure security for man, material & information in this factory.
  • Any other responsibilities assigned by the management from to time.
  • Accountable for up to date maintenance of all files, records and documents.
  • To renewal the factory & fire license yearly. Responsible for cleanliness of surroundings.
  • To prepare the layout plan of any New factory by the Architecture. Management of transports carrying workers.
  • Authority : as required to perform the specified job summary.
